Put AI to work in HubSpot, on foundations that hold up

HubSpot’s AI agents can research prospects, qualify enquiries, draft emails and keep records up to date. Used well, they give your team hours back every week. Used on poor data, they scale the problem. We help you find the use cases worth doing and get them right first time.

Why it matters

AI is only as good as the information behind it

An agent that writes to prospects relies on accurate contact and company data. One that qualifies enquiries relies on clear definitions of a good lead. One that updates records relies on agreed rules about who owns what.

When those foundations are missing, AI produces confident output that nobody trusts. When they are in place, it takes repetitive work off your team and lets them spend more time with customers.

So we start with the business problem, check the foundations, and only then recommend the tool.

Signs you are ready to explore AI

  • Your team logs activity consistently.
  • Lifecycle and deal stages mean the same thing to everyone.
  • Records have clear owners.
  • You can name a repetitive task that eats time each week.
  • Someone can check the output in the early stages.

Missing a few? That is normal. We help you close the gaps first.

Our method

Four questions every use case must pass

Before we recommend any AI capability, it has to answer these clearly.

  1. 1

    Task

What specific job will it do, and how much time does that job take today?

  2. 2

    Data

What information does it rely on, and is that information complete, current and owned?

  3. 3

    Oversight

Who reviews the output, handles exceptions and decides when it is ready to run on its own?

  4. 4

    Measure

What will tell you it is working: time saved, response speed, conversion or data quality?

Where AI typically helps

Practical use cases inside HubSpot

Which of these suit you depends on your processes, subscription and credits. We confirm availability before recommending anything.

Prospecting and research

Research target companies and contacts, summarise what matters and suggest a relevant opening, so reps start conversations better informed.

Enquiry qualification and routing

Assess new enquiries against agreed criteria and route them to the right person quickly, with the reasoning recorded.

Personalised follow-up

Draft follow-up emails based on what a contact has viewed or asked, ready for a rep to check and send.

Data quality and enrichment

Fill gaps, flag duplicates and keep company information current, so reports and automation run on reliable records.

Customer service

Answer common questions from your own knowledge base and hand over to a person when the question needs one.

Content and summaries

Summarise calls, meetings and record history so managers and new team members get up to speed fast.

How the assessment works

From idea to a tested, measured rollout

1

Review

Map the tasks that take your team time. Check the data, definitions and ownership each one depends on, and confirm what your HubSpot package includes.

2

Pilot

Pick one or two use cases that pass the four questions. Set up, test with real scenarios and keep a person reviewing the output.

3

Measure and scale

Compare results against the measures agreed at the start. Train the team, hand over ownership and extend what works.

What you come away with

  • A shortlist of AI use cases ranked by value and readiness.
  • The data and process fixes needed first, with owners.
  • Confirmation of what your current subscription supports, and what it does not.
  • A pilot plan with success measures and review points.

NI Chamber: AI agents working alongside the team

NI Chamber connects identifiable website activity with membership information. AI agents now guide communications with eligible non-members, working alongside the membership team rather than replacing them.

Questions about AI in HubSpot

Will AI fix poor CRM information?

Not on its own. Agents can research, enrich or classify defined information, but clear standards and consistent input from your team remain essential. We review those foundations alongside each use case.

Do we need to upgrade our HubSpot subscription?

Not necessarily. Some capabilities are included in your current package, others depend on your hub tier, seats or credits. We confirm what you already have before suggesting anything new.

Is our data safe?

We review HubSpot’s AI and data settings with you, including what is shared and what you can switch off, so decisions are made deliberately rather than by default.

Will AI replace members of our team?

That is not the aim. The use cases we recommend take repetitive work away so your people can spend more time on the conversations that need them, with a person checking the output.

How long does an assessment take?

It depends on the size of your setup and the number of use cases. We agree the scope and timescale at the start, after an initial conversation.
